Turn receipts you forward into a weekly expense report, plus a yearly tax summary

Idea + starter prompt, not run by us yet

For: Owners and freelancers who dread expense reports and tax time

An article gathers user reports. One person forwards anything that looks like a receipt, and Cowork collects them and emails an expense report each Monday. Another gave it a year of bank and card transactions for a tax prep summary that came back in minutes. A homeowner had it dig through a decade of mail for repair jobs and turn them into an upkeep calendar. No accuracy figures are given for the money tasks.

Steps

  1. Set up one place to forward receipts, such as a folder or label.
  2. Ask for a weekly report with date, vendor, amount and category.
  3. For tax prep, download a year of transactions and ask for a summary by category.
  4. Check every report before using it. A separate file-renaming test got about 70% of names right, which says nothing about how accurate these reports are.
  5. Have an accountant check anything you file.

Starter prompt

Starter prompt. Change the [brackets] first.

Each week, read the receipts in [folder or email label]. Make an expense report with date, vendor, amount, category and a total per category. Flag any receipt you cannot read. Save it as [file]. Do not send it to anyone. Separately, read my transactions for [year] in [file] and summarise them by category for tax preparation, marking anything unclear.
