Let an agent draft invoices and queue payments, with you approving the money

Idea + starter prompt, not run by us yet

For: Side business owners who spend hours a week on invoices and bookkeeping

The owner of a side SaaS hooked their Meow bank and QuickBooks up to Claude over MCP. The agent prepares invoices, lines up contractor payments, tracks spending and reconciles the books. Client details, rates and category rules live in the prompt. No money moves without the owner's OK. They say weekly admin fell from five or six hours to about 20 minutes.

Steps

  1. Write down client details, rates and how each expense should be categorised.
  2. Connect your bank and bookkeeping tools with the narrowest access they allow.
  3. Have the agent draft invoices and queue payments, never send or pay on its own.
  4. Approve each invoice and payment yourself.
  5. Review the reconciliation each month against the bank statement.

Starter prompt

Starter prompt. Change the [brackets] first.

Using my rules below, prepare this month's finance admin for [business name]. Clients and rates: [list]. Expense categories: [rules]. Draft invoices for work done in [month] and list contractor payments due. Match last month's transactions in [bookkeeping tool] to their categories. Do not send any invoice or make any payment. Show me everything as a list for approval. Never ask me to paste bank logins or card numbers here.
