Turn messy client notes into a hotel shortlist in order
Idea + starter prompt, not run by us yet
For: Travel advisors who keep scattered notes on what each client likes
A travel advisor pointed Codex at a client folder with patchy notes from past trips. Codex found the client's preferences, checked Belmond's live site and booking engine, then put three properties in order with open dates and nightly prices, plus a longer Word write-up. It assumed late June for two adults, so exact family pricing needed another pass. He sees it as a time saver, not a client-ready answer.
Steps
- Keep each client's notes in their own folder.
- Ask Codex to list the client's preferences from the notes before searching.
- Give it the hotel brand or sites to check and the travel dates if you know them.
- Check the dates and number of guests it assumed, then rerun with the right ones.
- Treat the shortlist as a starting point and confirm rates yourself before quoting.
Starter prompt
Read the notes in [client folder] and list what this client likes and dislikes about hotels and trips. Then check [hotel group or site] for options that fit, for [dates] and [number of adults and children]. If I have not given dates or guests, tell me what you assumed. Rank three options in a table with location, why it fits, availability and nightly rate. Do not make any booking or enter any payment details. Save a short Word summary I can edit.
